All of these software are very simple to use. Generating a backup of Outlook emails is just a matter of few mouse clicks. Each software provides output in a different way. For example, one software lets you save Outlook email data as CSV, another software lets you save the emails as PST file. The output file may contain email subject, date and time, sender, number of attachments, and other information.

CodeTwo Outlook Export
CodeTwo Outlook Export (Homepage) is one of the good options to backup Outlook data. It lets you save the output data as CSV file. You also have the choice to select the type of data that you want to export. For example, you can export data from Outlook folders like Contacts, Email, Notes, Contacts, etc.
This software actually works as a plugin for the desktop client of Microsoft Outlook. Once you have installed it, open MS Outlook, and you will see “Export” option under Home tab. Now you need to select Inbox, Sent Items, or some other label from which you want to export the data. After that, use Export option and its window will open. Now you can use:
- Export type: all items from current folder or selected items.
- Output file name and folder.
- Add button to select fields that you want to export. Fields such as Subject, Sent Date, Attachment Count, Attachment Names and Size, Cc (address type), Creator Name, etc.
- Options to set field separator
- Export button to save the output CSV containing the data selected by you.
The output comes really good. Still, it wasn’t able to add attachments in the output. Other than that, everything is very good.

zebNet Backup for Outlook
zebNet Backup for Outlook (Homepage) is a very simple option to backup Outlook emails. It actually backup your Outlook profile which includes emails also. It comes with backup and restore features only. So, the purpose of this software is straightforward, which is to keep a backup of your Outlook emails. It takes the backup in its native format (*.zbfx). You might not like that but the good thing is you can restore the backup data with just a few mouse clicks.
It is completely free for personal use. Also, you can generate a free license key and then use it. Do note that it requires Microsoft Outlook to be installed on your PC to use it. You should also close the Outlook window to begin the backup process and you need to do the same for restoring the backup.
Note: A few times, it wasn’t able to restore the backup because of some object reference error. Overall, the restore process worked pretty well.

Microsoft Outlook Desktop Client
If you are already using MS Outlook desktop client, then this is perhaps a good option to backup Outlook emails. It lets you save Outlook emails as CSV or PST file. You can import the output PST file in some PST viewer or MS Outlook.
To backup emails, you can:
- Open File menu and select “Open & Export” option.
- Click on Import/Export button.
- From the available options, select “Export to a file“, and then select the file type. You can either select CSV or PST file.
- Now you can select the folder to export. You can also include sub-folders.
- Select the output location to save the file.
This way you can take the backup of your Outlook emails. Later, you can import the output file to MS Outlook or other software which supports that such type of file.
